What are Record Offices?
Record Offices are the administrative unit responsible for maintaining the complete service history of every individual who has served in that branch — from enrolment to discharge or retirement. All three services maintain their own record-keeping structure, though the organization differs slightly between them.
In the Army, each Regiment or Corps (such as Gorkha Rifles, Rajput Regiment, Sikh Regiment, Artillery, and others) has its own dedicated Record Offices, headed by a Chief Record Officer, responsible for that Regiment’s personnel records. The Navy and Air Force maintain service records through their respective service headquarters and personnel branches rather than a regiment-wise structure, coordinating closely with bodies like the Directorate of Air Veterans for IAF pensioners.
Across all three services, Record Offices are the correct point of contact for matters such as correction of service particulars, issue of duplicate discharge certificates, verification of service for pension or PPO-related disputes, casualty and death certificate documentation, and queries related to gallantry or service awards.
This tool lets you select your service branch — Army, Navy, or Air Force — and find the correct Record Office contact quickly, instead of searching through scattered lists.

Frequently Asked Questions
Does this directory cover all three services, or just the Army?
This directory covers Record Offices across the Army, Navy, and Air Force. Simply select your service branch to view the relevant contacts.
Why does the Army have separate Record Offices per Regiment, but Navy and Air Force don't?
The Army’s regimental system means each Regiment or Corps maintains its own historical identity and personnel records through a dedicated Record Office. The Navy and Air Force are organized differently, without a regiment-equivalent structure, so their service records are maintained centrally through service headquarters and personnel branches. The Army also has a significantly larger strength than the Navy or Air Force, making it practically very difficult to maintain records for the entire force at a single centralized location — which is why the regiment-wise Record Office system exists.
What does an Army Regimental Record Office do?
It maintains the complete service record of every soldier who served in that Regiment, and handles service verification, discharge certificates, casualty documentation, and pension-related discrepancies specific to that Regiment.
What is the correct way to connect with a Record Office for documentation?
For quick queries and clarifications, you can contact the Record Office directly by phone using the number listed here. However, for formal correspondence — such as submitting an application, requesting a duplicate certificate, or raising a documentation issue — it is advisable to route your request through your local Zila Sainik Board (ZSB), as they can help forward and follow up on your application through the proper channel.
Can I get a duplicate discharge certificate from my Record Office?
Yes, across all three services, Record Offices can issue duplicate discharge certificates on request, usually requiring a written application along with proof of identity and service details.
Should I send original documents to the Record Office by post?
No. Always send photocopies or attested copies with your application. Keep originals with you unless the office specifically requests them for verification, and even then confirm the process before posting anything valuable.
